Manage certificates

Learn how to edit, renew, archive or delete your certificates.

Edit a certificate

To correct a detail, such as a date or a number, open the certificate, hover over the value and click the pencil icon. Change the value and click Save.

Some details, such as the company or the certificate type, can’t be edited. In that case, archive the certificate and upload it again with the right details.

Renew a certificate

On Vendor Compliance → Certifications, a renew icon appears in the Actions column for certificates that have expired or are about to expire. Expired certificates also show their expiration date in red.

  1. Click the renew icon in the Actions column, or open the certificate and click Renew Certificate. Check that the standard and company are correct.

  2. Upload the new certificate file (PDF, PNG or JPG, max. 20 MB) and click Continue.

  3. Fill in the certificate details: document and license number, issue and expiration date, and issuing body (for example Control Union, BV, TÜV, Elevate).

  4. Click Link & Request.

What happens next

  • We review the renewed certificate manually before it’s approved. Until then, the expired certificate stays in your certificate list.

  • Once the renewed certificate is approved, the expired certificate is removed from your certificate list automatically, and you no longer receive any notifications about it.

  • The previous version isn’t lost. To see it, open the renewed certificate and scroll down to Version History at the bottom of the page. It lists each previous version with its issue and expiration date, document number and file. Click a version to view the old certificate, or click Proof to open its file.

💡 Don’t delete an expired certificate yourself. Renew it instead, and it’s replaced automatically once the new one is approved.

Archive or delete a certificate

You can archive or delete a certificate from the certificate page. In the header, next to Renew Certificate and View File, you’ll find two icons:

  • Archive (box icon): Removes the certificate from your certificate list. Archived certificates can’t be viewed or restored in Retraced, but our team can help you get an archived certificate back.

  • Delete (red trash icon): Deletes the certificate permanently. Deleted certificates can’t be restored, not even by our team.

Click the icon and confirm with Archive or Delete.

To archive several certificates at once, tick them in the certificate list, click Archive in the bar above the table and confirm.

Not sure if you still need a certificate? Archive it instead of deleting it. If you need an archived certificate back, contact our team. A deleted certificate is gone for good.
