Upload certifications

Upload your certificates manually or let the AI fill in the details for you.

You can upload a certificate in two ways on Vendor Compliance → Certifications:

  • Create manually: You select the company and standard and fill in the certificate details yourself.

  • Create with AI: The AI reads your certificate and fills in the details for you to review.

Only the connected companies in your network can see your certificates. In the same way, you can only see the certificates of your own network.

Uploading a transaction certificate (TC)? If your customer requests TCs from you through Certified Materials, upload them there. You can find out how in How to respond to requests and upload TC documents. Otherwise, upload a TC like any other certificate as described below.

Option 1: Create manually

  1. Go to Vendor Compliance → Certifications and click Create manually.

  2. Under Which company is being certified?, select the company the certificate was awarded to. This must be the company named on the certificate, either as the certificate holder or as a facility listed in the certificate’s appendix.

For transaction certificates, select the company named as the buyer on the certificate, not the seller.

  3. Select the standard from the dropdown and click Continue. Make sure you choose the right certificate type (for example scope or transaction certificate) and the right version of the standard (for example ISO 9001 or ISO 9001:2015). Learn more in Certificate types.

💡 If a scope certificate covers two standards, upload it twice and select a different standard each time. Audit reports aren’t certificates: upload them under Audits. Can’t find your standard? Request it via this form.

  4. Attach the certificate file by dragging it into the field or clicking Choose file…. Accepted formats are PDF, PNG and JPG with a maximum size of 20 MB. Click Continue.

  5. Fill in the certificate details from the certificate: document and license number, issue and expiration date, and the issuing body (for example Control Union, Intertek, TÜV or Elevate).

    • The document number can be the scope or certificate number. For OEKO-TEX Standard 100, it’s the test report number.

    • The license number isn’t the Textile Exchange ID. For OEKO-TEX Standard 100, it’s the number below the QR code. If there’s no license number, enter “N/A”.

  6. For product and transaction certificates (optional): In the Link Products step, tick the products covered by the certificate under Styles, Variants or SKUs. You can skip this step and link products later.

  7. Click Create & Request.

Option 2: Create with AI

Instead of typing the details yourself, let the AI read your certificate and fill them in for you.

  1. Go to Vendor Compliance → Certifications and click Create with AI.

💡 Shortcut: You can also drop a file directly into the certificate table to start Create with AI.

  2. Drag your certificate into the field or click Choose file…. Accepted formats are PDF, PNG and JPG with a maximum size of 20 MB.

  3. Once the file is listed under Uploaded files, click Analyze the document.

  4. The analysis takes a few seconds. Wait for it to finish, or click Continue in the background and keep working. A progress banner then appears at the top of the page. If you close the window without choosing this option, the analysis stops.

  5. When you see “Analysis complete”, click Continue to review details.

  6. Check the extracted values: company name, standard type, document and license number, issuing body, and issue and expiration date. Company name, standard type and both dates are required. Pay special attention to the Standard type: make sure the AI chose the right standard and the right certificate type (for example a scope certificate, not a transaction certificate). For a transaction certificate, also check that the company is the buyer named on the certificate.

  7. To correct a value, click it. For the standard, search the list and pick the correct one.

Want to know what the AI read from your file? Expand Understand the AI result at the bottom to see the extracted data and the classification.

  8. When everything is correct, click Create and continue.

  9. Tell us how accurate the AI suggestions were with Needs work or Great job!, or click Close to skip.

💡 One certificate can cover several standards, for example OCS and GRS. Each upload on Retraced is for one standard, so check that the right one is selected.

After uploading

Whichever option you use, we review every certificate manually to make sure the information is correct. You can follow the review in the Status column of the certificate list:

  • In Review: The certificate is waiting for our review.

  • Approved: The certificate has been checked and approved.

  • Rejected: The certificate doesn’t meet the requirements. See Responding to rejected certificate claims for what to do next.

  • Non-Verifiable: We couldn’t find any information about the certificate yet, for example because the issuing body hasn’t published it. In most cases, you don’t need to do anything. If there’s a problem with the certificate, we’ll reject it instead.

Once approved, your certificates appear under Vendor Compliance → Certifications and on the Certifications tab of your company profile.
