You can upload an audit report in two ways on Vendor Compliance → Audits:
Create manually: You select the audit type and fill in the audit details yourself.
Create with AI: The AI reads your audit report, fills in the details and extracts the findings for you to review.
Audits of your own company appear on the Audits for <your company> tab, and audits you upload for your suppliers appear on the Network audits tab. The Generated by column shows whether an audit was created with AI or manually by a user.
Replacing an expired audit? Just upload the new audit. When you upload a new audit of the same type for the same company, the old one is archived automatically and you can still view it in the Version history of the new audit.
Option 1: Create manually
The Create audit dialog guides you through three steps: Add audit information, Add more audit information and Review.
Go to Vendor Compliance → Audits and click Create manually.
In Add audit information:
Under Who got audited?, select the company that was audited: your own company or one of your suppliers.
Under Audit, select the audit type.
Under Upload audit file, drop the audit report into the field or click Choose file…. Accepted formats are PDF, XLSX and DOCX with a maximum size of 20 MB. Once uploaded, you can preview, download or delete the file.
Click Continue.
Can’t find your audit type? Check the Audit directory or request a new type via our forms.
In Add more audit information, fill in the audit details. Fields marked with an asterisk (*) are required.
When did or when does the audit happen? (required): The audit date.
Next planned audit date: When your next audit is due.
Who conducted the audit? (required): The auditing company, for example SGS.
Reference number: The reference number of the audit report.
Facility score: The score or rating from the audit report, for example A or C.
Corrective Action plan: Optionally upload your corrective action plan (CAP).
Click Continue.
In Review, check the information and click Create audit. To change something, click Back.
💡 If you have a CAP file, upload it while you create the audit.
Option 2: Create with AI
Upload your audit report and the AI extracts the details and key findings for you to review.
Go to Vendor Compliance → Audits and click Create with AI.
💡 Shortcut: You can also drop a file directly into the audit table to start Create with AI.
Upload your audit file by dragging it into the field or clicking Choose file…. Accepted formats are PDF, XLSX and DOCX with a maximum size of 100 MB.
Optional: Add a CAP file. If you also want to create corrective and preventive actions (CAPAs) from the audit, attach the CAP file in the second field. Most suppliers don’t need this. Only add it if your customer has asked you to work on CAPAs in Retraced. When you add a CAP file, a fourth step, Review CAP Import, appears.
If you have an SLCP audit, use Connect SLCP to bring it in through our SLCP integration instead.
Click Analyze document.
A progress bar shows the status of the extraction. Either wait for it to finish, or click Continue in the background and keep working. You then see the progress under AI processing in the top bar.
Once the extraction is complete, click Continue to review details. If you chose to continue in the background, open the review from AI processing in the top bar.
Review the audit details. Click any value to edit it, then click Create an audit and continue.
If you added a CAP file, review the imported actions (see Creating CAPAs below) and click Create selected items. Otherwise, skip this step.
Choose what to do next: Go to audit page, Create a plan from actions or Finish and upload more audits.
The audit page shows the overall rating and the number of findings. Findings created by AI are listed on the Findings tab with the tag AI.
Good to know
If you close the window, the analysis stops unless you selected Continue in the background.
Click AI processing in the top bar to see your jobs. A badge shows how many are ready, for example “1 to review”.
Several uploads can be processed at the same time.
Cancel the processing job
While the audit is being processed, open AI processing in the top bar, click the X on the job and confirm with Yes, dismiss. The job is removed and no results or notifications are created.
Creating CAPAs (optional)
You only need this step if you added a CAP file when uploading the audit with AI.
Note: If the CAPA feature isn’t part of your subscription, you can’t work with or follow up on the created CAPAs. Contact us if you’d like to add it.
The Review CAP Import step lists the findings and corrective actions found in your CAP file. You decide which actions to keep.
Each finding shows its description, root cause and severity.
Under Suggested Actions, each action is tagged as Corrective or Preventive Action, with status and severity. Click See all actions to expand the list.
Select or deselect actions with the checkboxes or with Select all. Edit any finding or action with the pencil icon.
Click Create selected items.
