What defines an order as “Completed”

An order is completed once it is fully covered, submitted for review, and marked as done by your customer.

An order is Completed once your customer has reviewed your documents and marked the order as done. Before your customer can do that, you need to make sure the order meets all of the following criteria and then submit it for review.

✅ What you need to do

  1. Fully cover the order

The covered quantity must be equal to or greater than the ordered quantity. It must not be lower.

    👉 Example: 2500 / 2500 is fully covered. 2000 / 1500 is also fully covered.

  2. Upload all required documents

In Collected Evidence, every document type (TC, Inv, Ship) shows a checkmark and no warning icon.

  3. Make sure the documents are correctly matched

Each file is linked to the correct PO, product(s), quantity and certification standard.

  4. Submit for review

Click Submit for review in the order details. The status changes to In Review.

🔄 Final step: Your customer reviews the order

Uploading and submitting is not the last step. The order is only completed after your customer has reviewed it. The status moves through:

To Do → In Progress → In Review → Completed

  • If everything is correct, your customer marks the order as done and the status changes to Completed.

  • If something needs to be fixed, your customer changes the status back to In Progress. Update your documents and submit the order again.

Completed orders are listed under the Completed quick filter in Certified Materials. If not all filters fit on your screen, you’ll find Completed under +1 More.

Once an order is completed, you can’t change it anymore. If something needs to change after that, contact your customer. Only your customer can change the status of the order.

📊 Understanding coverage

The Coverage column shows how much of the ordered quantity is covered by your uploaded documents, in the format covered quantity / ordered quantity.

  • ⚪ Grey, for example 0 / 750: no coverage yet

  • 🟡 Yellow, for example 1000 / 1500: partially covered. Don’t submit yet.

  • 🟢 Green, for example 2500 / 2500: fully covered

  • 🟠 Orange, for example 3000 / 2500: overcovered. This still counts as fully covered, but check that your documents are linked to the right order.

⚠️ Common issues to watch out for

  • Coverage is lower than the ordered quantity, for example 0 / 450 or 750 / 1500. TC documents are missing.

  • Warning icon in Collected Evidence, for example ⚠️ TC 1. A required document is missing or still needs confirmation.

  • Coverage bar is orange. The covered quantity is higher than the ordered quantity, which may mean a document is linked to the wrong order. Check your documents.

  • AI Validation shows Needs review. The AI found values in your documents that don’t match the order, or values that are missing. Check and correct the affected files before submitting.

Important

An order is not completed just because you uploaded documents. It needs to be fully covered, submitted for review, and marked as done by your customer.
