4. Navigating CAPA

(1) Useful Elements

This is applicable to the Findings, Actions and Plans Tabs.

  • Filter: Search specific findings based on their title, source type, status, responsible company, severity, tags, and impact area.

  • Settings: Rearrange the order and visibility of columns according to your preference.

  • Export: Export (selected) findings.

  • View archive: Access and recover archived findings.

  • Manage tags: Create new tags or update/remove existing ones. Tagging findings, actions, and plans helps you organize and filter CAPAs more easily, identify recurring issues, and improve traceability and collaboration across teams.


(2) Findings Tab

You are in the Findings tab of CAPA, where all your findings are managed. Findings are either assigned to your own company or to other companies that are part of your network. Hence, findings are located in the tabs "My Company" and "Other companies".

When uploading an audit with the Audit AI flow, automatically all findings are extracted from the audit. But if something is missing or you want to add Findings, you can do that directly in this Findings tab.

When creating a finding (via "+ Add Findings"), the mandatory fields are:

  • Finding title

  • Responsible company

  • Source Type

  • Severity

  • Impact area

While the optional fields are:

  • Source

  • Finding description

  • Tags

When clicking the finding title, more details are shown including associated actions and the option to archive the finding and adding more tags if needed.


(3) Actions Tab

You are in the Actions tab of CAPA, where individual actions (corrective and preventive) are managed. You can distinguish them by the different icons.

Aside from all actions, you can have a filtered view of your actions based on ownership ("Assigned to Me"/"Reported by Me" tabs) and type ("Internal"/"External" tabs).

To create actions with a CAP or with other documents that contain many actions, use the "Import actions" button.

When clicking the action title, more details are shown and can be edited/added:

  • Creator & Responsible company

  • Creation, Due, Start, End Date

  • Linked Findings

  • Details (including the status, reporter, assignee, collaborators, severity, facility process and country of the responsible company, impact area, source type & source, action type, tags and associated CAP)

  • Linked Actions: Allows responsible company to link this action to similar actions from other audits!

  • Pictorial or documented Evidence of Violation

  • Activity (Comments and History)

  • Watch Settings


(4) Plans Tab

You are in the Plans tab of CAPA, where your corrective and preventive actions plans are managed. Aside from all plans, you can have a filtered view of your plans based on ownership ("Assigned to Me" tab) and type ("Internal"/"External" tabs).

To create a plan, use the "+ Create Plan" button.

When clicking the plan title, more details are shown and can be edited/added:

  • Creator & Responsible company

  • Creation, Due, Start, End Date

  • Description

  • Details (including the status, reporter, assignee, collaborators, facility process and country of the responsible company, impact area, source type & source and tags)

  • Linked Actions (including the option to add/create actions)

  • Activity (Comments and History)

  • Watch Settings
