Uploading audits by using the AI Audit Upload

(1) Uploading an audit report

You can upload your audit reports (in PDF or DOC format) directly to Retraced. The system will automatically extract details, key findings and suggest corrective actions for you to review.

  1. Access the audits tab and click "AI upload & analyze audit".

  2. Upload your audit document via drag & drop or "Choose file". Optionally, you can attach the corresponding CAP file in the below field. For both, ensure that the files meet the supported formats (PDF, DOC, XLSX) and do not exceed 100MB.

    TIP: When uploading an audit report via the AI uploader, you can upload the same file both as an audit and as a CAP by selecting the audit file in each case.

    Since the document is typically quite large and already includes all actions and relevant details, this approach is recommended to ensure everything is captured correctly.

  3. Click "Analyze document".

  4. A progress indicator shows the status of data extraction either directly in the pop-up or in the background - it is up to you.

  5. Once the extraction is complete, click "Continue to review details".

    If you choose "Continue in the background", review the extracted audit details via "AI processing X to review".

  6. Review the audit details. Although AI does most of the heavy lifting, reviewing helps ensure accuracy and builds trust in your data. If details need to be changed, click the pencil icon. Click "Create an audit and continue" to save the reviewed data.

  7. Choose between three options: (1) Go to audit page, (2) Get AI action suggestions based on audit findings and (3) Finish and upload more audits. For option 2, see below section "Creating CAPAs".


Additional information

  • When you close the audit modal, processing continues in the background.

  • You’ll see progress updates in the upper right corner.

  • Multiple uploads can process simultaneously.


Cancel the processing job

  • During processing, click ”X” to stop the job and confirm cancellation when prompted.

  • The job will be removed from the queue, and no results or notifications will be generated. The system resources are immediately freed.


(2) Creating CAPAs

Note: In case the CAPA feature is not part of your subscription, you cannot work with, or follow-up on the created CAPAS. Please reach out to us if you want to include the feature in your subscription.

After the audit findings are extracted, you can decide if you want to keep the AI suggested CAPAs by selecting them or choose to not have them included.

If needed, edit CAPAs manually via the pencil icon.

  1. Open the AI Actions view.

  2. Review the summary header showing total findings and suggested actions.

  3. See its compliance level, severity, and impact area.

  4. Review suggested actions categorized as Corrective or Preventive.

  5. Explore each finding.

  6. Select or deselect actions using checkboxes or the “Select All” toggle.

  7. Edit any action directly in the list.

  8. The Selected Actions Counter updates in real-time.
