3. What Defines an Order as “Completed”

An order is considered completed when all required Transaction Certificates (TCs) have been uploaded and the order is fully covered.

An order is considered complete when all of the following conditions are met:

✅ Completion criteria

  1. Coverage is achieved

The Coverage reaches 100%, or the covered quantity is equal to or greater than the required quantity.

    👉 Example: 2500 / 2500 → Complete. 2000 / 1500 → Also considered complete.

  2. All required documents are uploaded

The Collected Evidence shows all required files (e.g. 1/1, 2/2) with no missing documents.

  3. Documents are correctly matched

Files are matched to the correct PO, product(s), quantity, and certification standard.

  4. Submitted for review

The order has been submitted using Submit for Review and the status has changed to In Review.

🔄 Final step: Customer validation

Even after submission, the task is only fully completed after customer review and approval. The status will move from:

In Progress → In Review → Completed

📊 Understanding coverage

The Coverage column shows how much of the total PO quantity is covered by your uploaded documents.

Format: Covered Quantity / Total Quantity

Examples:

  • 0 / 750 → No documents uploaded yet

  • 1000 / 1500 → Partially covered

  • 2500 / 2500 → Fully covered

  • 3000 / 2500 → Overcovered

A progress bar helps visualize the status:

  • ⚪ Grey → No coverage

  • 🟡 Yellow → Partial coverage

  • 🟢 Green → Fully covered

  • 🟠 Orange → Overcoverage

⚠️ Common coverage issues to watch out for

  • Coverage is not complete — Coverage is less than 100% (e.g. 0 / 450, 750 / 1500). This indicates missing TC documents.

  • Warning in Collected Evidence — A ⚠️ icon (e.g. ⚠️ TC:1) means not all required files have been uploaded.

  • Coverage shows orange — Your covered quantity exceeds the required quantity, which may indicate a mismatch. Review your documents to confirm.

  • AI Validation status marked as "Needs review" — The AI identified content mismatching or missing values in your uploaded documents. Review and correct the affected files before submitting.

Important notes:

  • Uploading documents alone does not complete the task

  • Coverage must be achieved

  • Submission for review is required

  • The customer must validate the documents
