1. How to upload POs

You can upload Purchase Orders (POs) in the Certified Materials section to create the foundational dataset for Transaction Certificates (TC) management.

📍 Step 1: Where to find it

  1. In the navigation bar, go to Traceability → Certified Materials

  2. Click Import Orders in the top-right corner


⬇️ Step 2: Download the PO template

Before uploading your data, download the sample file to ensure the correct format.

  1. Click Import Orders

  2. In the pop-up window, click Download sample file

  3. Fill in your PO data in the downloaded file

Important:

  • The file must include all required columns

  • Each row should represent one PO line / article


📝 Step 3: Prepare your file

Make sure your file meets the following requirements:

  • Supported formats: .xls, .xlsx, .csv

  • Maximum file size: 50MB

  • One row per PO line / product

Important:

  • Internal Company Code must match your Network table exactly

    This value is used to connect the supplier in your PO file to the correct supplier in your platform network. If it doesn’t match, the system will not be able to assign or send requests to the correct supplier.

  • Responsible Person must be a valid user in your company

    This field defines who is internally responsible for managing and reviewing the supplier’s orders. Make sure the name or identifier matches an existing user in your organization.

  • Buyer Name is a mandatory field This value is used for the content check of evidence files. Make sure it is filled in for every row, as missing values will cause the upload to fail.

If the format is incorrect, the upload may fail or result in errors.


⬆️ Step 4: Upload your PO file

  1. Click Import Orders

  2. In the upload window, drag & drop your file into the upload area or click Choose file to select your file

  3. Click Import POs to complete the upload


✅ Step 5: After upload

After the upload is completed, your POs will appear in the Certified Materials table.

You can then:

  • Review coverage

  • Assign responsible users

  • Track status (e.g. To Do, Completed)

  • Monitor collected evidence

Tips & Common issues

  • Always use the latest sample file

  • Ensure required fields are filled

  • Check product identifiers and quantities

  • Large files may take longer to process

  • Supplier not linking correctly? Double-check that the Internal Company Code matches exactly with the value in your Network table. Even small differences will prevent proper mapping.

  • Orders not assigned to the right person? Verify that the Responsible Person exists in your company users and is spelled/formatted correctly.

  • Upload failing due to missing Buyer Name? Make sure the Buyer Name field is filled in for every row in your file. This value is required for the content check of evidence files.
