Introduction to the Certificates Compliance Report (Beta)

Please be aware this feature is currently only available to a beta testing group. If you would like to participate, please reach out to your Customer Success Manager.

The Certificates Compliance Report gives you a clear view of certification coverage across your supplier network. Built with Compliance Managers in mind, it helps you quickly identify valid certifications—and stay ahead of upcoming expirations.

What's included:

  • Only approved, unexpired certificates.

  • The most recent version of each certificate.

What's excluded:

  • Expired or archived certificates.

  • Transaction certificates. As TCs are usually uploaded as proof documents to the order. They are not displayed in this Certificates Analytics page. However, they are included in the Tracing Compliance report.

  • Product certificates. Certifications for a single product are excluded here.

  • Your own certificates.

  • Your clients certificates (marked with the relationship type Client in your Network)

💡 Tip: If a certificate is expired and not intended for renewal, archiving it ensures it's removed from all statistics.

This guide will help you interpret the key statistics in the report and utilize its features effectively.

How to Access the Report

  1. Click on the 'Reports' folder in the navigation bar on the left.

  2. Select 'Certificates Compliance' from the list.

Filtering Options

Refine your view to focus on what matters most. Filters are located at the top of the report.

Available filters

  • Filter by suppliers:

    • Select one or more suppliers from your network list.

    • Default setting: All suppliers

  • Filter by Certification Standard:

    • Choose specific standards (e.g. GOTS, Fairtrade)

    • Default setting: All certification standards

  • Filter by Collaboration Status:

    • Filter by supplier relationship status—Active, Onboarding, Paused, etc.

    • Default setting: Active suppliers only

Filters use "AND" logic across categories and "OR" logic within each category.
Your selections are saved automatically and stay in place until changed or cleared.

How to Apply Filters

  1. Click a filter dropdown.

  2. Select one or more options.

  3. Click the 'Apply' button to refresh results and keep filters for future visits.

💡 Multi-selection is supported in all dropdown filters. When adding multiple filters within one dropdown, the report will return results that match either of your filter criteria. When using multiple filters, results shown match all filters.


Key Metrics

Right at the top, two KPIs highlight the status of certifications in your network:

Total certificates uploaded:

  • Shows the number of approved, unexpired certificates from your network partners.

% of suppliers with a certificate

  • Tracks how many suppliers have at least one valid certificate

  • If a supplier has multiple certificates, only one is taken into account.


Certificates Expiration date - by month

A bar chart helps you monitor upcoming certificates expirations—before they become an issue:

  • Displays the current month plus the next four. Certificates in the current month are those expiring in that month, regardless of whether the date is in the past. For example, even if today is March 11, certificates expiring on March 10 and March 25 are both displayed for the month of March.

  • Includes an Expired bucket for certificates that haven’t been renewed by your network

  • Only approved certificates are shown

  • Keep in mind that retraced automatically notifies your network partners about their upcoming expiring certificates


Certificates uploaded - by Review Status

The Certificates uploaded - by Review Status provides visual breakdown of review outcomes—so you can see where things stand:

  • Categories: On top of certificates currently in review, all 3 status-categories are displayed on this pie chart: Approved, Rejected, Non-verifiable.

  • Expired and archived certificates are excluded.

  • The pie chart shows both percentage and count.

If there's no data, check if you need to adjust your filters or upload new information


Certificate expiration status - by production steps

With the Certificate expiration status - by production steps, understand how certification coverage maps across supply chain tiers:

  • Covers Depth - 1 through Depth - 4. The depths are based on the Retraced categorization of the facility processes.

  • Each bar shows:

    • Valid: currently approved

    • Soon to expire: due to expire this month or in the next four months

    • Expired: no longer valid and not yet renewed

  • Suppliers with multiple facility processes will appear at more than one depth.


Certificates Historic Data

This section displays historical trends based on the selected timeframe. The results are influenced by both the global filters applied across the dashboard and the specific timeframe chosen here. Adjust these settings to refine the data displayed.


Time Frame Filter

With the Time Frame Filter, adjust the Certificates Historic Data charts to match your reporting needs:

  • Choose from past 6, 12, or 24 months, last calendar year, or last two calendar years.

  • By default, the selected timeframe is for the past 12 months.

  • A certificate is included if it was valid at any point during the selected time.

  • This filter applies to historic data only.

Certificates by Standard

See which certificate standards are most commonly applied across your network. This chart highlights the top 5 certification standards across your network—plus a category for everything else:

  • Includes only approved and unexpired certificates

  • See both percentage and total count

  • Each slice shows:

    • The number of certificates per standard in your network

    • What percentage they represent

  • Hover to view full standard names and certificate totals
