Your Own User Profile: Managing notifications and language settings

Use Retraced in your language and get only the updates you need

Retraced can be used in 9 languages, so you and your colleagues can read the platform in the language you prefer. Notifications tell you by email and on your dashboard when something needs your attention, for example a customer request, an expiring certificate or an upcoming audit. Setting both up means you can understand and answer your customer's requests quickly, and you only get the updates you need.

Your own user profile

Language and notification settings belong to your user profile, not your company profile. Your company profile shows your customer who your company is; your user profile controls how Retraced works for you personally. These settings apply only to you, so each colleague can choose their own language and notifications.

You can change these settings at any time from User profile → Settings!

Open your user profile

Click your company name in the top-right corner of the platform, then select User profile.

The account menu in the top-right corner, with User profile highlighted under your name

Open Settings

On your profile page, click the Settings tab next to Overview.

Your user profile page with the Settings tab selected, showing Language Preference

1. Change your language

Under Language Preference, click the language shown under Select preferred language and pick one from the list: English, Deutsch (German), Español (Spanish), Français (French), Italiano (Italian), Português (Portuguese), Türkçe (Turkish), Tiếng Việt (Vietnamese) and 中文 (Chinese).

In the Search field you can also type the language. Your choice is saved automatically, and a Language saved message confirms it.

The language list open under Select preferred language, with English ticked

Your language changes the platform's built-in text: menus, buttons, labels and messages. Content that users type in themselves, such as company names, comments or questionnaire answers, stays in the language it was written in.

2. Choose your notifications

Scroll down to Notifications settings. Each setting applies to both email and dashboard notifications. Switch each type on or off with the toggle on the right:

  • Real time notifications — updates on your companies and your linked companies, for example claim status, shared audits, shared documents and assessment updates.

  • Daily notifications — your expiring certificates and upcoming audits.

  • Weekly notifications — weekly summary emails.

Then click Save notification settings. A confirmation message appears once your changes are saved. Unlike the language, notification changes are not saved until you click this button.

Your notification choices control what reaches you by email and on your dashboard. This helps your customer, because you see their requests and reminders in time to respond. It helps you too: you get the updates that matter for your work without a full inbox. If daily notifications feel too frequent, keep Real time notifications on so you don't miss incoming requests, or check the activity feed on your dashboard.

3. What you get notified about

See exactly which activities send you a notification (certificates, audits, documents, questionnaires, CAPA, tracing), how often, and whether by email or on the dashboard, so you can decide which settings to keep on.

The tables below list the notifications that matter to you as a supplier, grouped by feature. Email and Dashboard (In-platform) show where each one reaches you.

CAPA Management

You get CAPA notifications based on your role in an action (see Terms in CAPA for what each role means). Two rules apply:

  • Notifications only start once an assignee has been added to the action. Changes made before that, such as adding a collaborator, do not trigger notifications.

  • You are not notified about changes you make yourself, such as a status change or your own comment.
