Sales Order: How to process a Sales order received from your Buyer?

Whenever you receive a sales order from your client, you will be notified via email. Click on the button in that email to open the sales order directly.

How to react to the received Sales Order?

  1. Open the order by clicking 'View' for the received Sales Order by clicking on it from the Sales Orders tab or from your email notification.

  2. On the default 'Overview' tab, you will see the order details between your company and your client.

  3. Click on the 'Tracing' tab and scroll to view the linked orders. Click on the transaction link to open your order details. Click on 'View details' to expand for further order details.

    Tips:

    The check symbol on the transaction link between orders indicates that all the mandatory documentation for this order has been fulfilled.

    ⚠️ If a yellow sign displays instead, please make sure to upload the required documents.

  4. Upload all the requested documents as proofs: you can drag and drop, or upload multiple files using Bulk Upload options. After you have uploaded all proof files, exit the add order modal back to go back to the tracing map view.

  5. Click on the '+' button in your company's box on the tracing map to link your purchase orders into this order tracing.

    🙌 If your client requested you to disclose your upstream supplier's POs, you can do it through this view as well.

  6. Create or link your Purchase Orders directly through the tracing view.

  7. Finally, click on the 'Attachments' tab and review which files and mandatory documents have been provided and which are missing.

    • You can upload any missing documents directly here to finish the process.

    • You can also click on 'Download' should you need all the shared documents of this particular order sent to you via email.

💡 If you have an existing purchase order, you can link it within the tracing view.

After finishing all the above-mentioned steps, the Sales Order has been fully processed.
