This article explains the steps of our CAPA import wizard.

CAP files from audit reports can be very long and we did not want our users to create every single action in our system manually. Therefore, we implemented an import wizard for bulk uploading.

How to use the CAPA import wizard?

  1. Start the import wizard by clicking on the icon "Import actions".

  2. Select the responsible company.

  3. Decide if you want to add collaborators - this is only possible in the CAPA Advanced plan.

  4. Link the actions you want to import to an existing CAP. Make sure that you created a CAP for the responsible company beforehand. Otherwise, the drop down would be empty.

  5. Source type and source are preselected based on the linked CAP you want to import.

  6. Click the "Import data" button.

  7. Now, drag your file or browse and upload your file.

  8. Select the tab of your excel sheet you want to import and click "Continue".

  9. Check if you selected the right tab and click "Continue".

  10. Match the columns of your excel sheets with the data fields of our CAPA feature. Please note that title and type are mandatory to match. All the others are optional. Once done, click "Confirm".

  11. Review your entries. In this step you have the option to adjust the entries per row. In case you have not filled the fields for status, urgency, and due date we assign the following default values:

    • Status: To Do

    • Urgency: Low

    • Due Date: Taken over from linked CAP

10. Click "Complete Import".

TIP: In every step, you can go back to correct something or exit the importer in case you want to come back later. You can also export your current status as an Excel file and import it later to start where you left off.
